I’ve been looking into CRM tools lately, and the more I compare them, the less obvious the decision feels. HubSpot seems great if you want something friendly and easy to start with. Salesforce feels powerful but probably too heavy unless you have a team that can actually manage it. Pipedrive looks clean if your world is mostly sales pipelines. Zoho seems affordable and broad, but maybe complex. Monday CRM feels flexible. Airtable and Notion can work if your CRM is really more like a lightweight database or workspace. Retool and Appsmith seem interesting if you want to build an internal CRM on top of your own data. Flatlogic looks more like a way to generate a custom CRM/admin app if you actually want to own the code. But this is where I get stuck. Most CRM comparisons are feature lists, and feature lists don’t really answer the real question. If every tool has contacts, deals, automation, reports, integrations, and now some AI features, how do you actually choose? Is it mostly about team size? Sales process complexity? Budget? How much customization you need? Whether your workflow is standard or weird? Whether you have developers? At what point do you stop trying to bend HubSpot/Pipedrive/Salesforce/Zoho around your process and start thinking about a custom CRM instead?
