Original Summary
We build onboarding automations for B2B SaaS teams. The problem usually isn’t a slow CS team. They spend most of the day on steps that don’t need a human. If we were starting from zero, this is the order we’d go in: Account setup. When a deal closes in HubSpot, create the workspace, send the welcome email, and share a link to book the kickoff call. Zapier or Make is enough here. Import checks. Most onboarding stalls here. Validate the customer’s data before a human looks at it, and send back a plain list of what to fix. Activation tracking. Pick the 2 or 3 actions that predict a customer will stick, like a first integration or a second user invited. Alert CS only when an account stalls. Nudges. Send emails when an account stalls, not on a fixed day 3 and day 7 schedule. The mistakes we see most often: Building the welcome emails first. They’re easy to build, but setup and imports are where accounts get stuck. Tracking logins instead of real actions. A customer who logs in but never connects anything is at risk. Running everything through one long Zapier chain. When one step fails silently, nobody notices until the customer emails. Keep humans on kickoff calls, messy data, and big accounts. Use no-code for steps 1 and 4, and use code for steps 2 and 3 once volume grows. Which onboarding step did you automate that actually freed up CS time, and which one do you regret automating? submitted by /u/techcentera [link] [comments]
