Most late payments I’ve seen aren’t because the client is shady. It’s friction. The invoice landed in a promotions tab, or they opened it on their phone, needed your W-9 for their accountant, didn’t know whether you take Zelle or Venmo, and set it aside to “deal with later.” Later turns into three weeks and two awkward follow-ups. A few things that made a real difference for freelancers I’ve worked with (photographers, handymen, cleaners, people doing side gigs): 1. Send the invoice by text, not just email. Texts get opened. Emails get buried. If the client sees the amount and how to pay within a minute of you finishing the job, you get paid that day far more often. 2. Put everything in one place. Invoice, your W-9, photos of the finished work, and exactly how to pay you (your Zelle number, Venmo handle, Cash App, whatever). Every missing piece is a reason for them to wait. 3. Tell them how to pay, specifically. “Payment due in 30 days” invites 30 days. “Zelle to 555-555-5555 works best” invites a payment right now. 4. Attach photos of the work. Especially for trades. It answers “wait, what was this for?” before they ask, and it’s your proof if there’s ever a dispute. 5. Remind them by text, politely, on a schedule. Most people pay after a friendly nudge. The problem is remembering to send it without feeling like a bill collector. Full disclosure: I got tired of doing all of this manually, so I built a tool for it.
